The Executive Administrator will work directly with the executive team, along with sales and marketing team members, and will be responsible for performing a number of administrative and marketing support related duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.

Primary Responsibilities:

  • Executive Team Support (25%)
    • Coordinate executive communications (incoming calls, email responses, interfacing with clients)
    • Prepare internal and external corporate documents for team members and industry partners
    • Schedule meetings and appointments and manage travel itineraries
    • Manage status of action items and key strategic deliverables
    • Arrange corporate offsite events (golf tournaments, fund-raising, and staff appreciation events)
    • Maintain a strict level of confidentiality
  • Marketing Team Support (50%):
    • Organization of calendars, customer events, conferences, training sessions, marketing initiatives, trade shows, and other initiatives
    • Interact regularly with the sales and marketing departments to support the achievement of targets
    • Creation of materials for marketing communications, including the preparation of internal and external PowerPoint presentations, reports, and other promotional & marketing collateral
    • Support the launch of new products in the market
    • Promote Masco Canada’s goals and philosophy, encouraging continuous improvement
    • Plan yearly channel marketing activity calendar, co-work w/ marketing and sales team to effectively execute programs, measure, review and analyze results and ROI and provide constructive optimization proposal/report to key stakeholders
  • Office Administration (25%):
    • Liaison with property management personnel on office logistics and maintenance of building
    • Organize and coordinate office renovations as required
    • Ensure all equipment is kept in working order, liaison with outside companies regarding maintenance and supplies (electrical, security system, phone/voicemail systems)
    • Liaise between office and IT department
    • Ensure staffing of Reception area
    • Provide overflow administrative support for the Mississauga Office as required
    • Organize supply inventory and incoming/outgoing shipments
    • Additional duties as assigned

  • 3-5 years administrative experience in a Corporate and/or Marketing office environment
  • Demonstrated professionalism and business acumen
  • Strong communication and interpersonal skills
  • Highly organized, with the ability to multi-task and meet changing deadlines
  • Proficient in Microsoft Office Suite of products
  • Ability to work outside normal working hours on occasion
  • Reliable transportation and the ability to travel on occasion

Educational Requirements:

  • Bachelor Degree required
  • Marketing Diploma or Certificate preferred
